Quick answers for hosts.

What is RV Host Notes?

RV Host Notes creates editable digital guides, turnover checklists and operating spreadsheets for RV, motorhome, campervan, glamping, cabin and small campsite hosts. These are templates to customize, not a hosted property-management service.

Can I buy and download immediately?

Yes. Choose a product and complete secure checkout via Payhip. Your files are available as an instant download after payment. For download or product questions, email [email protected]. No physical item is shipped.

Which RV pack should I choose?

Choose the $29 Welcome Guide for a phone-and-print guest guide, the $17 Inspection & Turnover pack for host-side checks, or the $24 Profit & Maintenance Tracker for calculations. The $59 Premium bundle includes the entire collection. The $39 Operations tier contains the original Handoff Kit, inspection pack and messages, not the new tracker or upgraded mobile guide.

Does the Welcome Guide replace the Handoff Kit?

The Welcome Guide is the upgraded guest-facing mobile-and-print system. The original Handoff Kit remains a starter option with detailed vehicle walkthrough worksheets. Some material overlaps; you do not need both to start. Premium includes both for hosts who want the complete collection.

Can I edit the templates in Google Docs or Word?

Yes. The DOCX masters are editable in Word and can be imported into Google Docs. Review pagination after import and export your completed copy as PDF. No Canva template, editable online account or automatic synchronization is included.

Are the files usable outside the United States?

Document packs include A4 and US Letter PDFs and International English alternatives. Relevant fields support metric and imperial units; the tracker uses a chosen currency and km or miles per service row. Hosts must supply local emergency numbers, regulations and equipment guidance. No translations or universal legal compliance are promised.

How does the mobile guide and QR sign work?

Customize the mobile HTML or a completed PDF, then put it at your own stable HTTPS website or view-only document link. The included offline HTML QR generator makes a sign for that link. A QR code does not host the guide; test access signed out on two phones and keep an offline copy.

Does the tracker work in Google Sheets?

The XLSX uses standard formulas intended for Excel and Google Sheets import. It includes blank and clearly labelled example versions. Formulas were recalculated and tested in LibreOffice; a signed-in Google Sheets import has not yet been tested. Check dates, locale and sample results after import. There are no macros or live integrations.

What does the tracker calculate?

It calculates booking revenue, user-entered fees, matching trip expenses, trip profit, monthly operating totals and assumption-based break-even nights. It flags date or distance maintenance reminders using your own service intervals. It is not tax software, a bank feed or a complete service schedule.

Do the checklists replace a safety inspection or platform forms?

No. Use qualified professionals, exact manufacturer instructions and current booking-platform records. A completed checklist is not proof of roadworthiness, insurance coverage or compliance. Unresolved safety issues should block release.

Are the images real customers or rental properties?

No. The website RV scenes are illustrative AI-generated imagery. Product previews show actual document pages. No reviews, sales figures or customer endorsements are claimed.

Can I share the finished guide with my guests?

Yes. Customize the files for your own operated business and share completed guest guides with guests and staff working copies with your team. You may not resell or redistribute editable masters, offer PLR/MRR or use them to build a competing template product.

What should a rental welcome guide include?

Start with arrival and return details, host and emergency contacts, verified vehicle or property information, equipment reference links, stay rules, local essentials and clear checkout expectations. Keep sensitive entry codes separate from public guides and provide an offline backup.

How can I contact RV Host Notes?

Email [email protected] for product questions and download support. Do not email card details, identity documents or private booking credentials. We do not claim 24/7 monitoring or emergency support.
