How to track RV rental profit per trip
Estimate trip profit by subtracting actual platform fees and directly linked trip expenses from rental revenue after refunds. Then subtract unallocated overhead at business level; do not confuse gross booking value with profit.
Use a consistent trip ID
Assign a unique booking ID and a consistent vehicle name. Record dates, nights, rate, extras, refunds and actual fees. Keep guest IDs, card details and sensitive documents out of the workbook.
Match the fee model to your platform
A percentage-fee estimate is not a verified payout. Some fees apply before refunds, some do not, and fixed fees can change. Reconcile with actual statements and avoid entering the same fee as both a booking fee and an expense.
Separate direct costs and overhead
Link cleaning, trip-specific supplies and other direct costs to the trip ID. Keep shared insurance, storage and general overhead unallocated or use a documented allocation method. Do not count refundable security deposits or pass-through taxes as rental revenue.
Keep plans separate from results
Forecast trips are not sales. A cancelled trip may leave only a retained cancellation amount, not the original booking total. If an expense has already been incurred for a future trip, record it as a real cost without claiming future income as earned.
Model break-even without promising earnings
Contribution per occupied night is nightly revenue after modelled platform percentage fees, less variable nightly cost. Divide monthly fixed costs by positive contribution and round up for a simple break-even-night scenario. If contribution is zero or negative, the assumptions do not produce a viable margin.
Use maintenance reminders as reminders
Date and odometer intervals should come from your exact service schedule and qualified provider. A spreadsheet reminder is not a full inspection plan. Use one distance unit per item and investigate missing baselines before trusting a due status.
General operational guidance, not equipment, legal, tax or insurance advice. Your exact manufacturer instructions, qualified provider and current platform records take priority.
