RV rental turnover checklist: what to inspect between trips
An RV rental turnover should document condition, resolve defects, clean and restock the space, and end with an authorised ready-or-hold decision. A checklist does not certify roadworthiness.
1. Start with the booking and before/after evidence
Match the vehicle and booking ID. Record return time, odometer or distance unit, fuel and relevant tank/generator readings using the same method as departure. Photograph accessible areas safely and retain original files. Follow current platform requirements in its own app; do not assume a universal claims deadline.
2. Separate observations from conclusions
Write “scratch observed on lower left door” rather than assigning blame. Compare departure evidence and record uncertain items. Do not use a checklist to create new fees, determine liability or promise insurance recovery.
3. Treat safety defects as a hold
Check maintenance status against the actual manufacturer schedule and escalate warnings, leaks, damage or unsafe equipment to a qualified person. Do not invent universal pressures, service intervals, hitch procedures or electrical tests. An unresolved safety concern blocks release.
4. Clean and replenish the guest space
Remove rubbish, change linens, clean kitchen/bath and high-touch surfaces using suitable labelled products, and follow required contact times. Never mix chemicals. Count agreed inventory and replace missing consumables. Keep fresh-water and waste equipment separate.
5. Prepare the next handoff
Confirm guest access, manuals, current contacts and the trip-specific welcome guide. Record who completed each check and who authorised release. If an issue is unresolved, record its owner, next step and hold status rather than marking the rental ready.
A concise reusable record
Use fields for booking/vehicle, date/time/zone, item checked, Done/N/A/Hold, factual observation, photo reference, assigned owner and resolution evidence. Keep guest identity and card information out of your operational checklist.
General operational guidance, not equipment, legal, tax or insurance advice. Your exact manufacturer instructions, qualified provider and current platform records take priority.
