What to include in an RV rental welcome guide

A useful RV rental welcome guide gives guests the trip essentials first: arrival and return details, host and emergency contacts, verified equipment references, stay rules and clear checkout expectations.

Start with a one-screen trip summary

Put the rental name, arrival/return date, time zone, location and normal support contact at the top. Show an emergency number and exact location or access route that the host has checked for the destination. Do not imply ordinary email is monitored for emergencies.

Keep operating guidance specific

Link or attach the current manuals for the actual vehicle and fitted equipment. Include verified dimensions, fuel type and allowed controls. A written guide follows hands-on training; it is not a substitute for competent towing checks, gas/electrical work or emergency response.

Match the reservation

House rules, permitted travel, pets, smoking, cleaning, fuel and tank expectations should agree with the booking. A guide is not a new contract or a place to add surprise fees. Link guests back to current platform instructions where required.

Make mobile and print useful together

Use short headings, readable text and a compact quick-start page. Give guests an offline PDF or printed backup for poor-signal locations. A stable view-only HTTPS link can power your QR sign; the QR image itself does not host anything.

Test sharing without your own login

Open the guide link on two phones while signed out. Check that guests can view it but cannot edit the master. Keep private entry codes and booking-specific data out of public guides. Update the QR sign when its destination changes.

Use international fields carefully

Offer A4 and US Letter and choose familiar motorhome/campervan wording. Label dimensions with units and distinguish US from Imperial gallons. Local emergency numbers, road rules and equipment requirements still need host verification.

General operational guidance, not equipment, legal, tax or insurance advice. Your exact manufacturer instructions, qualified provider and current platform records take priority.
